AI receptionist for solicitors and law firms

With Voani, your firm gets an AI receptionist: it answers the phone while you're in court or in a meeting. It says which areas of law you cover and how much the first consultation costs if you publish it, and notes who's calling, their number, the area and whether it's urgent, without going into the details of the case.

What it does at your firm

  • Answers what anyone at the firm could answer: the areas of law you cover, the price of the first consultation if you publish it, your opening hours and where you are.
  • Takes messages in an orderly way: name, phone number, area (employment, family, criminal, civil…), whether they're already a client and whether it's urgent.
  • Stays out of the case: with your rules, it leaves the details for the solicitor at the consultation.
  • Flags anything urgent, such as an arrest or a deadline about to expire, so you can call back straight away.

An AI, and upfront about it

Your agent is an AI and never pretends to be a person: if someone asks whether it is one, it says so naturally and carries on helping. It doesn't replace anyone at your firm: it picks up the calls that currently go unanswered while you're in court, in a meeting or out of hours, and leaves you a summary of them so you can call back.

Rules for your firm

  • When they start describing their case → say the solicitor will go through it at the consultation and note only the area.
  • When they mention an arrest, an upcoming hearing or a deadline about to expire → mark it as urgent and say they'll be called today.
  • When they ask what they should do → say the solicitor will explain and offer them a consultation.
  • When an existing client calls → ask for their name and case reference, and say the person handling their matter will call them.

Client confidentiality, handled with care

What a client discusses with their solicitor is confidential. That's why it's best for your agent to note just what's needed: who's calling, the area and how urgent it is, never the substance of the matter. And at a law firm it makes sense to switch off the agent's recording: each agent has its own switch.

Your data is stored on a server in Spain; the voice and the AI use external providers (some in the US) only to process each call. We don't use your calls to train AI models, and if you need it for the GDPR, we'll send you the data processing agreement.

The details of each call

As well as the name, the phone number and the reason, you ask for up to five details of your own: the area, the urgency or deadline, whether they're a client of the firm, the case reference or the solicitor they're asking for. Each call reaches your dashboard in order, and urgent ones are flagged.

What it would cost you

0.13 € per minute of conversation, VAT included and billed by the second, with no monthly fee. An example to give you an idea: 10 calls a day lasting 3 minutes, 22 days a month, come to 660 minutes: 85.80 € a month. If you're comparing it with a call answering service, see Voani versus a receptionist or a call answering service.

What it doesn't do yet

  • Put the call through to the solicitor on call: it flags anything urgent and gives out the number you set.
  • Book the appointment into your diary or check your practice management software: it takes a note and you confirm.
  • Connect to the firm's phone: coming very soon. Today you create it and try it from your browser.

Example call

Law firm

CustomerGood morning. I need a solicitor about a dismissal. How much is the first consultation?

AgentThe first consultation is 60 €, and if we take on the case, it's deducted from the fees. Could I take your name and a phone number so the employment solicitor can call you?

CustomerJavier Moreno, on 611 333 555. I was dismissed on Friday.

AgentThank you, Javier. I'll note it down as a dismissal, on Friday, so they call you today. You can give the solicitor the details at the consultation.

What it notes down for you: Employment · dismissal (on Friday) · call Javier Moreno today (611 333 555) · first consultation 60 €

This is an example: each agent answers with what its business tells it.

Frequently asked questions

Is it a real secretary?

No: it's an AI, with natural, native voices, that never pretends to be a person. If someone asks whether it's an AI, it says so and carries on helping, and if they'd rather speak to someone at the firm, it offers to have them call back.

Does it give legal advice?

That's not what it's for. It answers with what the firm publishes, such as your areas of law or the price of the first consultation, and with a rule it leaves questions about the case to the solicitor: “When they ask what they should do → say the solicitor will explain”.

Does it ask for details of the case?

With the firm's rule, no: it notes who's calling, their number, the area and how urgent it is. They tell the solicitor the substance of the matter at the consultation.

Are calls recorded?

You decide: each agent has its own recording switch. At a law firm, because of client confidentiality, it makes sense to switch it off. Any recordings that are kept are deleted automatically after 90 days at most.

What does it do with something urgent?

It flags it as urgent in the dashboard and says what you tell it to, for example that they'll be called today, or the firm's on-call number. It doesn't put the call through.

How much does it cost compared with a call answering service?

Voani costs 0.13 € per minute of conversation, VAT included and billed by the second, with no monthly fee. Call answering services that publish their prices usually charge a monthly fee plus an amount for each call.
