How Voani works: set up your AI receptionist in five steps

Voani works in five steps: you create your agent, give it your website so it learns what it needs to know, set its rules and hours, and try it by talking to it from your browser. Once it's answering calls, it leaves you a summary of each one, with the caller's details and what you need to do.

1. Create it: name, voice and way of speaking

You give it the name it will introduce itself by, and tell it what your business is and what you want it for: reception, appointments and bookings, orders, customer service or sales. Each use changes what it prioritises on the call: for appointments and bookings, getting the day, the time and the phone number right; for sales, giving advice without pressure and noting down anyone who wants to buy.

You choose its voice from eight native voices in its language, four female and four male; in Spanish, with an accent from Spain. You decide whether it sounds friendly and informal or professional and formal, and you adjust its speed and how expressive it is, from “Livelier” to “Calmer”. Before saving, you press “Listen” and hear how its greeting sounds.

It speaks Spanish, English, French, German or Italian: each agent answers in the language you set. An account holds up to 10 agents, for example one for each language or one for each location.

2. Teach it your business: it reads your website

You paste your website address and press “Read my website”. Voani reads up to 12 pages (services, prices, opening hours, contact details, FAQs…) and the AI uses what it finds to write its document: what it needs to know, organised into sections. If your prices are in a PDF, such as a menu or a price list, you upload it and it learns that too.

That document is yours: you review it, correct it and add to it whenever you like, and it keeps a version history in case you want to go back. The dashboard tells you which topics are missing (opening hours, directions, prices…) and, with “Ask it”, you ask it a question and see what it would answer before it talks to anyone. One document can serve several agents: if you change it, they all know.

What isn't in its document, it doesn't make up, and you choose what it does instead: it takes a note of the caller's name, number and what they need so you can call them back, or it gives a contact (an email address, a phone number or your website).

3. Give it rules, hours and the details you want

Rules are instructions in your own words, in the form “When… → say or do…”. You can add up to 20, and the dashboard suggests ideas for your type of business that you add with one click and change as you like. For example:

  • When they ask to speak to a person → take their name and number, and say they'll be called today.
  • When someone is angry or wants to complain → listen without interrupting, apologise and take detailed notes so they're called back.
  • When a supplier or someone selling something calls → take their name, company and what they offer, without committing to anything.

In Hours you tell it when you're open and how it answers when you're closed: taking a message or answering anyway, while letting callers know the team isn't in. On every call it knows the day and time at your business, and you can give it an out-of-hours greeting, like the example the dashboard suggests: “Hi, you've reached Clínica Ríos outside our hours. I'm Lucía: I'll take a message and we'll call you back as soon as we open.”

And you choose which details it collects on each call: name, phone number, email, reason, order or customer number and preferred date, plus up to five of your own, such as the car's registration or the treatment they're asking about.

4. Try it before anyone else

From your dashboard you call it in your browser and talk to it as a customer would. The test call appears in Calls with its summary, just like real ones, and it comes out of your balance by the second: that's what your 20 free minutes are for.

The dashboard shows you what it still needs to be “Ready to answer”, in six steps: its name and your business, its voice, its reviewed greeting, what it knows, a test call and its hours. Each step takes you to the right place.

Don't have an account yet? With “Try it with your website”, on the home page, our AI reads your website and you talk to your trial agent from your browser, without signing up.

5. Take calls and see what it leaves you

When someone calls, it answers like a person: it listens, stops as soon as it's interrupted and notices if the caller is in a hurry, upset or unsure, adapting what it says and how it says it. When it's given a phone number or an email address, it repeats it back to confirm. And if it's asked whether it's an AI, it says so naturally and carries on helping.

After the call, in Calls you have each one with:

  • a summary written by the AI and what you need to do;
  • the result (wants an appointment, resolved, for you; or whether they hung up, there was no conversation or it was spam), the reason for the call and the caller's mood;
  • their details, which you can correct by hand;
  • the written conversation and the recording, if you have it switched on;
  • what it couldn't answer, so you can add it to its document with one click.

In Statistics you see how many calls there were, why people called and how the calls ended, by agent and compared with the previous period, and you can download it all as a CSV. And if you want each call in your own tools, a webhook sends its summary and details to the address you choose as soon as the call ends.

What it doesn't do yet

  • It doesn't book appointments into your diary: it notes them down with the name, the number and what's being asked for, and your team confirms them.
  • It doesn't connect to calendars, WhatsApp or management software yet; it does have the webhook.
  • It doesn't put the call through to a person: it takes a note so you can call back.

Frequently asked questions

Do I need any technical knowledge to use Voani?

No. You create it from your dashboard, in your browser: you give it a name and a voice, paste your website address and the AI writes what it needs to know. There's nothing to install.

How long does it take to set up?

About five minutes: you give it a name and a voice, give it your website address so it learns what it needs to know, review it and try it by talking to it from your browser.

What if my website doesn't have all the information?

Whatever's missing, you write into its document yourself, or you upload a PDF or a text with your prices, your opening hours or your policies. The dashboard tells you which topics are missing, and with “Ask it” you check what it would answer.

What does it do if it's asked something it doesn't know?

It doesn't make it up. It notes down who called, their number and what they need so you can get back to them, or it gives out the contact you choose. Nor does it confirm appointments, prices or deadlines you haven't told it about.

Can I have several agents?

Yes, up to 10 per account, each with its own name, voice, language and document; or the same document for several, and if you change it, they all know.

How do I test my agent before it answers anyone?

From your dashboard, with a test call in your browser: you talk to it like a customer and the call appears in Calls with its summary. Without an account, with “Try it with your website” the AI reads your website and you talk to your trial agent.

Can I change what it says whenever I like?

Yes. Its greeting, its document, its rules and its hours can be changed from the dashboard whenever you like, and they apply from the next call.
