What it does with every appointment request
- It asks what the caller needs: the service, the treatment, the check-up, the table.
- It asks for the day and time that suit them, and a second option just in case.
- It takes their name and a phone number.
- It repeats everything back at the end, to check it's noted down correctly.
- It tells them your team will confirm it shortly.
If they ask something else on the same call, such as the price, the opening hours or directions, it answers with what it knows about your business.
Why it doesn't confirm them itself
Because it can't see your diary yet: it doesn't connect to calendars or booking software. It's better to note the request down properly and have you confirm it than to accept a time that may already be taken. That's why it's built to say “I'll note that down” and “the team will confirm it”, not “you're booked in”.
In your dashboard, that call arrives marked with the result Wants an appointment and with its details in order: who it is, their number, what they're asking for and the date they'd prefer. All that's left is for you to call or message them to confirm it.
Changing or cancelling an appointment
It also takes calls to change or cancel: it asks for the name and the day of the appointment, and says you'll confirm it. The dashboard has this rule ready to add with one click: “When they want to change or cancel their appointment → ask for their name and the day of the appointment, and say it will be confirmed”.
Table and group bookings
In a restaurant it does the same with bookings: how many people, which day, what time and under what name. And with the rules the dashboard suggests for restaurants, it acts the way you want:
- When they want to book for more than 8 people → take their name, number, day and time, and say the manager will call to confirm.
- When they ask about allergies or intolerances → say the staff will tell them about each dish, and note the allergy in the booking.
- When they ask if there's a table for today → don't promise it: take their details and say they'll be called to confirm.
Rules for your diary
Every business handles appointments its own way, and you tell it how with rules: “When they book a colour or a long service → ask what they want done, to book just the right amount of time”, or “When they ask for a specific person on the team → note it in the booking and say they'll confirm if that person is free”. You can add up to 20.
What it leaves you from each appointment
From each call it notes the details you choose: name, phone number, email, reason, customer number and preferred date, plus up to five of your own, such as the treatment or the registration number. You can correct them by hand if needed, filter them and download them as a CSV. With a webhook, each appointment request reaches the tool you use as soon as the call ends.
What it doesn't do yet
- Put the appointment in your calendar: it doesn't connect to calendars or booking software yet.
- Send reminders to callers by text message, WhatsApp or email.
- Connect to your number: coming very soon. Today you create it and try it from your browser.
